cloudThing's Architecture and Business Process Analysis

Business Architecture is all about understanding how your business processes work. It’s about understanding why it is, what it is, and having that deeper understanding so that the necessary actions and processes can happen in order to reach the desired end goal. cloudThing's Business Analysis Process is where we explain the steps we take in order to provide the client with the finished and requested outcome. As a brief overview, we use ‘As-Is, to To-Be' processes. This means we look to minimise the number of processes occurring and see where we can harmonise them which will, in return, harmonise how people in the organisation work. Ultimately, this means that the less processes there are, the less stories there are to write, resulting in there being less work for the organisation to do. By standardising the work, it allows the client to make efficient savings (a standard way of working means that it’s easier to write code, therefore less man-hours are needed from us at cloudThing). 

What are the first steps in cloudThing’s Business Architecture workstream? 

The first exercise in the Business Architecture workstream is creating a Business Process Map which is used to identify the processes that are currently underway in the client’s organisation. From here, cloudThing can analyse these processes to see if we can reduce the volume of processes (be they now redundant, duplicates, loose duplications, or overly complex) and simplify them. This ultimately means the organisation will run more efficiently. 

Step 2: Process Improvement

Within this step, a SIPOC (Supplier, Input, Process, Output, Customer) method, which summarises all processes in a table format, is used to identify all the relevant elements of process inputs, outputs etc and assist in defining new processes. These diagrams are used as the basis for the process maps and are built up and adjusted from there and are created at all levels of processes. It is a simple way for both the client and cloudThing to see what is currently happening within the organisation and it helps to show where improvement is needed. 

Step 3: Why do cloudThing do Business Architecture workshops?

cloudThing provide workshops for the client, their management team and their users in order to acknowledge and identify the Level 0, Level 1 and Level 2 process steps across the organisation. This helps the client and their base have a better and deeper understanding of what processes are and aren’t necessary to have and where they can simplify and reduce certain processes in order to reach the same or a better outcome.

Step 4: Process Mapping

Following the workshops, the SIPOC’s are translated into defined process steps and given unique reference numbers which allow their parentage to be traced hierarchically. An example of how this is done is by using Microsoft’s Visio Process Mapping connectors. By utilising this application, the processes can be easily visualised and data relating to each step can be linked easily. Each process will have a SIPOC diagram along with a description so that the client and cloudThing can easily identify what it does and what it is aiming to achieve at the end of the action. 

Step 5: To-Be Process Mapping

Following on from the process mapping stage, we then look at the next actions which are labelled as the ‘To-Be’ processes. Thanks to the steps laid out, we can clearly see, along with the client, which steps still need manual input from process operators. From this, we are able to see who the process owner is and what the purpose of the process (from the original SIPOC analysis) is so that the Solution Architects SA’s) and Developers at cloudThing can complete the next step which is the story-writing workstream.

The final step: Story-writing and Wireframes

Why do cloudThing have these user stories and wireframes? Having all this information linked and done in the previous steps means that it is easier and therefore quicker for our SA’s to write the stories, therefore meaning less time and man hours are required which works out efficiently and cheaper for the client. Story-writing and wireframes are created to ensure that the client’s vision in maintained throughout the processes and that they all contribute to the end result. cloudThing looks to make sure that the client’s objectives and requirements are met and are not lost along the way- nobody likes paying for something that isn’t necessary and doesn’t contribute towards their target.
